EXIBIT RULES AND REGULATIONS


1. Eligibility to exhibit
Products (or services) that are allowed to be exhibited include: Metalcutting and metalforming machine tools, Sheetmetal machine tools, Injection molding machines, Cutting tools and tooling systems, Ancillary equipment, Grinding wheels, Polishing agents, Precision measuring & testing equipment, Hydraulic, pneumatic and water-jet equipment, Gears and gearmaking equipment, Environment preservation and safety equipment, CAD/CAM/CAE systems, Industrial robots & material handling or transfer equipment, Control devices (including CNCs) and related software, Washing or cleaning machines, New materials, Micromachines and other nanotechnology-related equipment, and other FA-related equipment & systems.
2. Booth size and rental charge
[One Booth (3 x 3m)]: JPY 273,000 (including 5% consumption tax)
The Show Management Office will install partitions (side- and back-walls) to separate each exhibitor's exhibit space from others.
3. Discount of booth fee
A special discount will be allowed for large exhibit spaces as follows:
[Exhibit space with 10 to 19 booths]: 5% discount on total booth fee
[Exhibit space with 20 to 40 booths]: 10% discount on total booth fee
4. Limitation of exhibit space
(1) In order to enable as many companies and organizations as possible to participate in this show, the maximum allowable number of booths for exhibit space per exhibitor is limited to 40 booths.
(2) Exhibitors that participated in MECHATROTECH JAPAN 2007 are requested to limit their exhibit space to the previous level not exceeding 40 booths.
(3) The Show Management Office reserves the right to request reduction of the size of exhibit space after due consideration of product categories and requested exhibit space and booth arrangements.
5. Period for application acceptance
[Acceptance starting date]: November 4, 2008 (Tuesday)
[Acceptance ending date]: April 20, 2009 (Monday)
※The acceptance ending date may be changed should no exhibit space be available.
6. Additional service charges
Electrical, plumbing, telephone, air supply, Internet linkage, floor repair (due to anchor bolts, oil leakage, etc.), rental and other services are available at additional charge.
7. Payment of booth rental charge
Upon receipt of the application, the Show Management Office will send an invoice to Exhibitor. The payment shall be made within one month after receipt of the invoice through a telegraphic transfer to the following account (cash or check payments are unacceptable). The transfer payment receipt is considered the formal receipt slip evidencing the payment for exhibit rental charge and shall be retained by Exhibitor.
Exhibitors are responsible for payment of the bank transfer fee.

8. Rejection of application
The Show Management Office reserves the right to accept or reject, in its sole discretion, any application to exhibit and to determine the eligibility of any proposed exhibit.
9. Cancellation or reduction of space
Exhibiting firms wishing to cancel or reduce the size of their exhibit space are required to forward a confirming letter describing their reasons to the Show Management Office by postal mail.
In the event of cancellation, the date the written notice is received is considered the official cancellation date, and the following cancellation fee will be applied.
If the cancellation date is before the booth assignment date: 30% of exhibit fee
If the cancellation date is after the booth assignment date: 100% of exhibit fee
※ The booth assignment date is defined as the date of the Exhibitor Meeting.
In the event of space reduction, the refund of such portion of the exhibit fee received will be determined based on the above calculation method, after due consideration of expenditures and commitments already made.
10. Booth assignment
(1) Exhibit booth space will be assigned by the Show Management Office after due consideration of the product categories, the structure of the exhibition grounds, the exhibitor’s previous exhibiting record, the requested number of booths, the order of application, and other factors. Final assignments will be announced at the Exhibitor Meeting or directly notified to Exhibitors.
Exhibitors are not allowed to request any change of the booth allocation, or to transfer, lend or exchange the assigned space partially or entirely with any third party or other exhibitors.
(2) In addition, exhibitors are not allowed to request the position of exhibit space at the time of application.
11. Exhibitor Meeting
The Exhibitor Meeting will be held in late June or early July of 2009 to make detailed explanations about move-in and move-out procedures and other rules of the exhibition, and to distribute other documents related to MECHATROTECH JAPAN 2009.
12. Move-in, move-out, display, etc.
(1) Move-in and move-out of heavy exhibits
For heavy exhibits that require cranes and other heavy-duty lifting equipment for installation and removal, the relevant exhibitors shall strictly follow move-in and move-out plans made by the Show Management Office.
(2) Storage of packing materials and empty containers
As there are no facilities for storing of packing materials and empty containers to be used for exhibits, exhibitors are responsible for making arrangements for storing, maintaining and removing of these materials by themselves. All such materials must be removed from the Exhibit Halls before the opening day.
(3) Waste disposal
Any waste and garbage generated by exhibit spaces during installation, demonstration and removal of exhibits shall be properly disposed of by each exhibitor.
(4) Booth display height is limited to 2.7 m.
Exhibitors shall follow the rule of 2.7 m display height in their booths. Basically, the partitions shall not be moved or removed.
(5) Demonstrations
Demonstrations of exhibits shall be safely performed without causing any problems for visitors and other exhibitors. Individual exhibitors are responsible for resolving any problems concerning damage or losses caused to any third party during demonstrations. As the need arises, the Show Management Office may limit or terminate demonstrations of exhibits for the purpose of ensuring safety.
(6) Security of exhibits
The Show Management Office will make best efforts to ensure the security of the entire show site as a reliable organizer by hiring security guards. However, the Show Management Office assumes no responsibility or liability whatsoever related to damage of exhibits or any materials left in exhibit booths due to theft, loss, natural disaster, accidental force, etc., which are beyond its control. Exhibitors shall take necessary measures, including purchasing of insurance, to protect exhibits from potential risks throughout the entire process, including transportation, installation, assembling, disassembling and removal before, during and after the show period.
13. Modification of exhibit rules
The Show Management Office may change any part of the exhibit rules and regulations due to unavoidable circumstances, but will not be responsible for any resultant losses.
14. Cancellation of show
In the event of cancellation of the Exhibition due to fire, strikes, picketing, embargo, injunction, act of war, act of God, governmental regulations, emergencies, any act beyond the control of the Show Management Office, or any causes which would prevent its scheduled opening or continuance, the MECT 2009 Show Management Office shall determine an equitable basis for the refund of such portion of the exhibit fee as is possible, after due consideration of expenditures and commitments already made. However, it assumes no responsibility or liability whatsoever related to any loss caused by the cancellation.
